Privacy Policy

simplefy.ai Pty Ltd (ACN 687 054 815) ("simplefy.ai", "we", "our", "us") manages personal information in line with applicable Australian privacy laws, including the Privacy Act 1988 (Cth) and the Australian Privacy Principles where they apply.

This policy explains how we collect, hold, use and disclose personal information when you use simplefy.ai, subscribe to our communications or engage us for services.

1. What we collect and hold

  • Enquiries: your name, email address, organisation and message.
  • The Brief subscriptions: your email address.
  • Programme registrations: your name and email address.
  • Services: contact and business details, and information you or your organisation provide while working with us.

Google Analytics may collect browser and device information, pages viewed, referring pages, approximate location, cookies or similar identifiers, and other information about how the Site is used. Google may use an IP address during collection but states that Google Analytics does not log or store the raw IP address.

We do not ask for sensitive information through the Site. Please do not include health, financial, biometric or other sensitive information in a free-text field unless we have agreed it is necessary. If you provide information we did not request, we will handle it under this policy.

2. How we collect and use it

We collect information directly from you through forms, subscriptions, correspondence and our work with you. We use it to respond to enquiries, deliver and manage services, provide requested programme updates or The Brief, manage billing and records, understand how the Site is used, improve our services, and meet legal and regulatory obligations.

We do not sell personal information. You can unsubscribe from The Brief or other marketing emails using the unsubscribe link in the message or by emailing privacy@simplefy.ai.

3. Website submissions and AI

Enquiries and subscriptions submitted through the Site are stored in our Payload content system and Neon database. Resend is used to deliver form notifications, acknowledgements and subscription emails.

The Site does not send enquiry or subscription data to an AI model. Website enquiries are reviewed by a person and are not processed by an AI tool. We do not use website enquiry or subscription information to train AI models.

4. Who we disclose it to

We use service providers to operate the Site and our business. These include Vercel for hosting, Neon for the website database, Cloudflare for media delivery, Resend for email delivery, Google for analytics and workplace services, and Xero for accounting where relevant. We may also disclose information to professional advisers or where required or authorised by law.

5. Overseas processing

Some service providers store or process personal information outside Australia. Likely locations include the United States and New Zealand, as well as other countries where provider infrastructure or subprocessors operate. We take reasonable steps required by applicable Australian privacy laws when disclosing personal information to overseas recipients.

6. Security and retention

We take reasonable steps appropriate to the service and risk to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure. These steps include access restrictions, encrypted connections and review of the systems we use. No online service is completely secure.

We retain personal information only for as long as it is needed for the purpose for which it was collected or to meet legal, tax, insurance and record-keeping obligations. When information is no longer required, we take reasonable steps to delete or de-identify it where required and practicable.

7. Access, correction and complaints

You may ask to access or correct personal information we hold about you, or ask us to consider deleting it where we are not required to keep it. Email privacy@simplefy.ai with enough detail for us to understand and respond to your request.

If you believe we have mishandled personal information, email privacy@simplefy.ai. We will investigate and respond within a reasonable time. If you are not satisfied with our response, you may contact the Office of the Australian Information Commissioner for information about available complaint options.

8. Changes and contact

We may update this policy when our practices, providers or legal obligations change. The current version and its last-updated date will remain available on the Site.
